Project Management Assistant

Description:

  • Collect, review, and validate Daily Job Reports and labor hours
  • Post data into Smartsheet to feed project control logs and maintain client visibility
  • Track equipment inspections and maintain safety documentation
  • Support scheduling activities including 3-week lookahead and resource allocation
  • Assist with Procore document management, RFIs, and drawing sets
  • Support billing, pay applications, and change order tracking
  • Reconcile labor hours against budgeted tasks and project schedules
  • Monitor % complete vs. projected revenue and transfer values to pay applications (AIA G702 / A1A forms)
  • Ensure accuracy of invoices and consumption-based billing projections
  • Track and follow up on change orders and purchase orders to ensure approvals and adjustments are processed
  • Maintain financial reporting dashboards and present key data to PM/superintendent for decision-making
  • Act as a bridge between field crews and project management team

Day-to-Day Responsibilities

  • Monitor and update project logs, RFIs, and schedules
  • Coordinate with field crews to ensure data accuracy and timely reporting
  • Validate labor hours and ensure proper allocation to tasks
  • Track and manage change orders, purchase orders, and timesheets
  • Maintain project documentation in Procore, Smartsheet, and related systems
  • Reconcile financial data, including revenue projections, pay applications, and invoicing accuracy
  • Provide support for superintendent and PM by managing administrative tasks
  • Assist with preparation for client meetings and project reviews
