Job Summary

The Safety Programs Coordinator supports the development, maintenance, and implementation of company safety programs and systems. This role is execution-focused and detail-oriented, serving as the backbone for safety program documentation, KPA system administration, training records, and program lifecycle management. The Coordinator ensures accuracy, organization, and follow-through across safety programs while collaborating closely with Safety leadership and training teams.

Core Responsibilities

Safety Program Support & Maintenance

  • Assist in the development, review, revision, and maintenance of safety programs, procedures, and policies
  • Maintain organized program folders, version control, and change documentation
  • Track program review schedules, action items, and updates
  • Support cross-department collaboration when safety program changes impact operations, HR, or project teams

Safety Software (KPA) Administration

  • Build, edit, and maintain KPA forms, workflows, notifications, data lists, dashboards, and assets
  • Maintain KPA databases including employees, projects, SDSs, toolbox talks, and training resources
  • Assist with safety software implementation, configuration, and continuous improvement
  • Support users with KPA navigation, tutorials, and basic troubleshooting

 

Training Records & Compliance Support

  • Maintain training records and verify certification accuracy (OSHA, CPR, Certified General, etc.)
  • Log training, issue certificates (digital and physical), and distribute as required
  • Run and audit training reports for accuracy, correct errors and omissions
  • Support training staff to ensure system accuracy and compliance tracking

Administrative & Process Support

  • Develop schedules, task lists, and tracking tools for safety program maintenance
  • Schedule and participate in meetings related to program updates
  • Assist with improving internal safety department processes and management systems

Required Qualifications

  • Ability to maintain confidentiality of company data
  • High proficiency with Microsoft Office (Word, Excel, Outlook, Teams)
  • Technical writing and document control skills

Education & Experience

  • Prior experience in construction safety, safety administration, or compliance preferred
  • Familiarity with safety programs and documentation (IIPP, policies, procedures)
  • Experience with safety management software (KPA or similar) preferred
  • College degree preferred but not required
