Lead Executive Assistant
The Lead Executive Assistant is a trusted partner to the CEO and CFO, acting as the main point of contact for internal and external needs while ensuring smooth, consistent support across the executive team. This role requires a proactive, organized, and detail-driven professional with strong communication skills, excellent judgment, and the ability to manage multiple priorities with discretion.
The Lead EA supports high-impact projects from start to finish, creates and improves processes, and helps drive efficiency across the organization. You lead through influence, collaborate across teams, and maintain a solutions-focused, positive mindset.
Key Responsibilities
- Provide executive-level administrative support, including calendar management, travel coordination, and communication support for the CEO and CFO.
- Serve as the liaison for executive team members, coordinating meetings, priorities, and follow-ups.
- Build and manage the annual executive calendar.
- Plan major meetings, offsite events, and domestic/international travel.
- Prepare and submit expense reports in a timely manner.
- Monitor and respond to email inquiries, determining when executive action is needed.
- Lead staff meeting agendas, track action items, and ensure follow-through.
- Manage special projects from initiation through completion.
- Partner with other executive assistants to share best practices and drive continuous improvement.
- Maintain consistent processes and communication across the global executive support team.
- Handle sensitive information with confidentiality and professionalism.
Experience & Qualifications
- Bachelor’s degree in business administration or a related field.
- 8+ years supporting senior leaders or executive teams.
- 5+ years directly supporting C-suite leaders, including a CEO and CFO.
- Experience working across multiple time zones in a global environment.
- Strong skills with tools like Outlook, Teams, OneNote, and SharePoint.
- Experience with travel and expense platforms (e.g., Concur).
- Excellent time-management, prioritization, and multitasking abilities.
- Strong communication skills with the ability to interact across all levels of an organization.
- Highly organized, proactive, and solution oriented.
- Ability to work independently and collaboratively.
- High emotional intelligence, sound judgment, and discretion with confidential matters.
- Ability to thrive in a fast-paced environment with shifting priorities.
- Demonstrated ability to drive tasks to completion and meet deadlines.
